When a lease may be notarized
Longer commercial leases, leases that will be recorded, leases for use abroad, and leases signed by a person using a power of attorney often call for notarization. Some landlords or lenders add it as a policy. A short residential lease for a year typically does not need it.

Who signs and appears
Each party whose signature is to be notarized must appear before the notary, in person or online if allowed. Landlords with several owners and tenants with several adults all sign. Company signers usually bring proof of authority, such as a corporate resolution.
A notary will ask each signer for ID and check the name against the lease. Use the exact legal name of the person or company.
Reading the paper without advising
A notary does not interpret clauses, rent amounts or renewal terms. They look for blanks, missing pages and a notarial certificate. If the lease has handwritten changes, each should be initialed by the parties so no one can say it was altered afterward.
If you disagree about a clause, resolve it before the appointment. A notary cannot negotiate.

A guarantor or co-signer may sign a separate guaranty. A landlord may ask for an affidavit about occupancy. A tenant moving from another country may need documents authenticated. Each has its own signing rules.
For recorded leases, the recording office may have strict formatting rules for margins and names.
Keeping records
Give every party a fully signed copy. Keep a scan of the lease, the move-in condition list and any addenda in one folder. If your lease needs to be recorded, ask the recording office about fees and format.

Scenario: a small shop owner signing a commercial lease
A landlord and a shop owner agree on a five-year lease. The landlord's lender wants the lease acknowledged so it can be referenced in a recorded memorandum. Both sign at a title office, and the notary completes an acknowledgment for each.
The tenant is an LLC, so the signer writes the company name and signs with a title such as 'Member'. The landlord brings a resolution because the building is owned by a company. The notary compares each person's ID with the printed name, nothing more.
A memorandum of lease is a short document that gives public notice of the lease without disclosing the rent. It often has the formal notarial block, while the full lease may not. If you are in this situation, ask the attorney which documents need acknowledgment and which can be signed in plain ink.

Is an unnotarized lease still valid?
In many cases yes, but rules vary. An attorney can say whether yours is.
Can the notary witness only the landlord?
Yes, if only that signature needs the notarial act.
