Business Mileage Log

Buy this script on its own for $29, one time. No membership needed. It runs on your own computer and nothing you enter leaves it. Read how it works and the questions below first.

The Automation Suite includes this and 10 more tools for $99. Members get this included. See the membership or sign in. Already bought it? Email me my access link.

How it works

How it works

Step one, review: the script collects trip candidates from a Google Takeout or Timeline export (the older Semantic Location History files and the newer on-device Timeline.json, with distances in meters), a calendar .ics export (events with a physical address become trips, with miles from a simple distance table you edit), and your own CSV of trips or odometer readings. Open trips_review.csv and mark each trip business, personal or commuting, with a specific purpose. Re-running keeps your marks. Step two, log: it builds the mileage log (date, start, destination, purpose, miles) with totals by month and year, and the deduction at the IRS business rate for each trip's date: 72.5 cents per mile for January 1 to June 30, 2026 and 76 cents from July 1, 2026. Rates can be overridden or added with --rate. Commuting is kept out of the deduction.

FAQ

About this calculator

What do I need to run it?

Python 3.9 or newer on Windows, Mac or Linux. Nothing else to install. Bring at least one of: a Google Timeline/Takeout JSON export, a calendar .ics export, or a CSV list of your trips. Run --demo to see how it works.

Which IRS mileage rate does it use?

The business standard mileage rate in effect on each trip's date: 70 cents for 2025, 72.5 cents for January 1 to June 30, 2026 and 76 cents from July 1, 2026, as published on irs.gov. Use --rate to add later years or change a rate.

Does it count my drive to the office?

Only if you mark it business. Commuting between home and your regular place of work isn't deductible, so the log reports commuting miles separately and leaves them out of the deduction.

Is this tax advice, and is the log enough on its own?

No. It is a general-information tool, not tax advice. The IRS expects mileage records made at or near the time of each trip. Use this tool to assemble and check what you recorded, keep the source records, and ask a tax professional about your situation.
