Free invoice template for Excel
One clean page you can print or save as a PDF. Type your lines, and the due date, subtotal, tax and balance work themselves out.
What is inside
- Your details and the customer's Business name, address, contact and the bill-to block.
- Invoice number, date and terms Enter the date and the number of days allowed, and the due date calculates.
- Ten line items Description, quantity or hours, and rate. Each line multiplies for you.
- Discount, sales tax and payments A discount percent, a sales tax percent you set yourself, and an amount already paid, leading to the balance due.
How to use it
- Fill in your business and customer details once, then save a copy as your master.
- Give each invoice the next number in your sequence and set the date and terms.
- Enter the lines. Delete the two example lines first.
- Print to PDF and send. Record the invoice in your books the same day, and mark it paid when the money arrives.
Using it in Google Sheets
- Open Google Sheets and choose File, then Import, then Upload, and pick the downloaded file.
- Choose "Replace spreadsheet" or "Insert new sheet(s)".
- Check the formulas and the dropdown lists after the import. Most carry over, but Google Sheets handles a few functions and formats differently.
Things to watch
- Number invoices in order. Gaps and repeats make it hard to tell which invoices are paid. Keep one master list.
- Say when payment is due. A due date on the invoice is the easiest way to collect on time. Terms of 15 or 30 days are common choices, and the choice is yours.
- Set sales tax yourself. Leave the rate at 0 if you do not charge it. Which sales are taxable is decided by the NJ Division of Taxation, not by the template.
- Match it to your books. Every invoice you send should appear in your accounting records once, in the month you earned it.
Questions
Is the invoice template free?
Yes. It downloads straight away, with no sign-up. Use it for your business as often as you like.
Can I use it in Google Sheets?
Yes. Upload the file to Google Sheets and check the formulas after the import.
Do I have to charge sales tax?
It depends on what you sell and where. The template has a tax percent you can leave at 0. Ask the NJ Division of Taxation or your CPA what applies to you.
How do I get paid faster?
State the due date, how to pay and who to contact. Send the invoice the day the work is done, and follow up politely a few days after it is due.
