What is inside

  • Your details and the customer's Business name, address and contact, and the received-from block.
  • Receipt number, date and payment method Pick cash, check, card, bank transfer or other from the list.
  • Ten line items Description, quantity and price; each amount calculates.
  • Totals Subtotal, discount, sales tax, total, amount paid and the balance still due.

How to use it

  1. Fill in your business details once and save a copy as your master.
  2. Give each receipt the next number and the payment date.
  3. Enter what the customer paid for and the amount they paid.
  4. Print or save as a PDF for the customer, and keep a copy with your records.

Using it in Google Sheets

  1. Open Google Sheets and choose File, then Import, then Upload, and pick the downloaded file.
  2. Choose "Replace spreadsheet" or "Insert new sheet(s)".
  3. Check the formulas and the dropdown lists after the import. Most carry over, but Google Sheets handles a few functions and formats differently.

Things to watch

  • Number receipts in order. A numbered set makes it easy to match receipts to bank deposits and spot one that is missing.
  • Cash needs the most care. A receipt for every cash payment, with a copy kept, is the record that shows what came in.
  • Record the income in your books too. The receipt is proof for the customer. Your books still need the sale entered once.
  • Keep copies. Keep your copies with the month's records. Ask your CPA how long to keep them.

Questions

What should a receipt show?

Your business name and contact, the date, a receipt number, who paid, what they paid for, the amount, how they paid and any balance still due.

Is a receipt the same as an invoice?

No. An invoice asks for payment. A receipt confirms a payment was received.

Can I use it in Google Sheets?

Yes. Upload the file to Google Sheets and check the formulas and the payment method list after the import.

Do I need to charge sales tax?

It depends on what you sell. Check with the NJ Division of Taxation or your CPA, and set the rate on the receipt only if the sale is taxable.
