Access, not passwords
Give your bookkeeper user access to your accounting software and read-only access to the bank where possible. Do not share your personal logins or online banking passwords by email or text.
Statements
Statements for every business bank account, credit card, loan and payment processor, by the 5th to 10th of the next month.
Receipts and documents
Receipts for larger purchases, invoices you issued outside the software, and contracts or loan paperwork for new commitments.
Payroll and tax
Payroll reports for the month, copies of tax notices, and sales tax or payroll filings made outside your accounting software.
Questions
Expect a short list of transactions the bookkeeper could not categorize. Answer within a few days. Quick answers keep the books current.
What you should get back
Reconciled accounts, a profit and loss, a balance sheet, and a short note about what changed or needs attention.
Common questions
What if I miss a month?
Send it when you can. The longer you wait, the harder it is to remember what the transactions were.
How do I send documents securely?
Through your client account on our site or the accounting software's attachment feature, rather than plain email.
